Policy Resolution No. 9‑12

Use of Website for Formal Notices

WHEREAS, the Board of Directors operates a website on behalf of the Association (www.lortonvalley.com);

WHEREAS, this website includes all of the Association’s legal documents, policies, and forms;

WHEREAS, the Association has been mailing new or amended legal documents, policies, and forms to the membership at the expense of the Association in order to effectuate formal notice to the membership of those new or amended legal documents, policies and forms

WHEREAS, the Property Owners Association Act permits the Board to effect notice by electronic transmission, provided that the Board notifies the membership of its intention to do so in the future; and ;

WHEREAS, the Board has decided to exercise this option to save mailing costs, paper, and manpower;

NOW, THEREFORE, THE BOARD HEREBY RESOLVES AND ANNOUNCES THAT:

1. Publication of Documents

The Board shall publish all of the Association’s legal documents, policies and forms on the Association’s website, including new or amended legal documents, policies or forms. Unless expressly decided by the Board of Directors to do otherwise, the Association shall cease the practice of mass-mailing these documents to the membership.

2. Owner Mail Requests

If any owner wishes to continue to receive such documents by mail, the owner may notify the Association in writing, and the Association will comply with the request, but at the expense of the owner.

3. General Notices

Unless expressly required to use the mail service by the Virginia Code or the Association’s legal documents, the Board shall publish all general messages, announcements, and advisories to the membership via the Association’s website.
